Records & Reports

Records is where the individual pieces of a case live — people, vehicles, properties, warrants, citations, and arrests — searchable from one place in the web app and, in the field, from the MDT. This page covers the web app view; for the in-game commands that hit the same data, see the Officer Field Guide.

One search box searches civilians by name and vehicles by plate at the same time, so you don't need to know which kind of record you're looking for before you start typing. Each result shows license or registration status, and any person or vehicle with an active warrant or BOLO gets a red safety flag pill right in the results list — before you even open the record.

  • + New Civilian and + New Vehicle open create modals directly from the search screen.
  • If a search comes back empty, you get a one-click create civilian option prefilled from what you typed, so a walk-up you don't have on file yet doesn't cost you a second trip through a create form.
tip

Search is the fastest way into a record during a live call — most officers never navigate Records by browsing, they search.

Civilian records

A civilian opens as a drawer, not a new page, so you can search again or jump back to a call without losing your place.

If the person has an active warrant or BOLO, an officer-safety banner sits at the top of the drawer no matter which tab you're on — you don't have to go looking for it.

TabContents
OverviewDOB, sex, phone, and license status — all editable.
VehiclesVehicles this person owns.
WarrantsFull warrant history for this person, at any status.
CitationsCitations issued to this person.
ArrestsArrest history.
BOLOsBOLOs naming this person.
Field ContactsHistory of traffic stops and other field contacts involving them.
NotesFree-text notes from staff.
Notes are append-only

Once a note is saved it can't be edited or deleted — only added to. Treat it like a log, not a scratchpad: if something was wrong, add a follow-up note rather than trying to fix the original.

Vehicle records

A vehicle drawer follows the same pattern, scoped to that vehicle:

TabContents
OverviewVIN, make, model, color, registration status, and owner — all editable.
CitationsCitations that named this vehicle.
BOLOsBOLOs on this vehicle, with an Issue BOLO for this vehicle button.
Field ContactsHistory of traffic stops and other field contacts involving this vehicle.

Properties

Properties are address/location records, kept separate from any one person or vehicle. A property has an address, region/postal/country, a free-text label (so you can note what the place actually is — a residence, a business), an optional link to an owning civilian, and its own notes.

The property list is filterable by city, which makes it useful for building a picture of a location relevant to a case — a residence tied to multiple subjects, a business that keeps coming up — independent of whichever person or vehicle happens to be involved this time.

Tips

The Tips tab is a read-only log of tips submitted through the Civilian Portal: submitter name, the tip text, and when it was submitted. There's no accept, dismiss, or triage workflow here — it's something staff read, not a queue to work through.

Citations

A citation can be issued from a civilian's record, from an active traffic stop, or from a CAD call — wherever you already are when you need to write one. Each citation records an optional linked vehicle, a location, a statute code and description, and an optional fine amount.

Citations carry a status — Issued, Contested, Paid, or Closed — but that status is a record of where things stand, not something you move forward from this view. Treat a citation as documentation of what was issued rather than a payment or dispute tracker.

Arrests

Record Arrest builds a booking against a subject in one form:

  1. Optionally serve one of the subject's own active warrants as part of the booking.
  2. Set the arrest location.
  3. Add an optional narrative.
  4. Add one or more charges — each a statute code and description, with + Add charge for additional charges on the same booking.

Booking an arrest that links to an active warrant is what marks that warrant served — see below.

Warrants

Warrants move through a fixed lifecycle, and a warrant is never deleted — only moved forward or closed out — so the full history stays visible on the record.

Drafted → Pending Approval → Active → Served

Recalled, Quashed, and Denied are reachable earlier in the process:

  • Draft a warrant with a charge-description narrative — the probable cause — and an optional link back to the CAD call it came from.
  • Submit for Approval moves it from Drafted to Pending Approval.
  • A supervisor Approves a pending warrant (→ Active) or Denies it (→ Denied, with a required reason).
  • A supervisor can Recall an Active warrant, or Quash one that hasn't gone active yet — both require a reason.

There's no standalone "serve" action. A warrant is marked Served automatically when an arrest that links to it is booked, which keeps the warrant record and the arrest that closed it tied together.

You can reach a subject's warrants from their own civilian record, or browse every warrant in the organisation from the dedicated warrant browser under Records, filterable by any status in the lifecycle above.

tip

In the field, an officer running a person check — by in-game command or from the MDT — gets a clear yes/no on an active warrant as part of that same lookup. See the Officer Field Guide for the in-game side of this.

  • Officer Field Guide — in-game commands for looking up people and vehicles, and for issuing citations, arrests, and BOLOs from the field.
  • Dispatch Console — how calls, BOLOs, and units are tracked while a call is active.
  • RMS & Incident Reports — Records holds the individual entities (people, vehicles, warrants, citations, arrests); RMS is where a full incident writeup or case gets built around them. A report can link out to the records involved, and a record like a citation or arrest can point back to the report that covers it.
